Edutantra ("we", "us", or "our") is a school management platform operated by rohitwebco. We are committed to protecting the privacy of visitors to our website, prospective customers, and users of the Edutantra platform.

This Privacy Policy explains what information we collect, how we use it, how we share it, and the choices available to you. By using our website or platform, you agree to the practices described in this policy.

This policy applies to information collected through edutantra.com and related marketing pages. Schools using the Edutantra platform may have additional data handling practices governed by their subscription agreement and applicable law.

1. Information we collect

We collect information in the following ways:

  • Website & lead forms — When you request a demo, contact us, or submit a form, we may collect your name, email, phone number, institution name, designation, city/state, institution type, and any message or requirements you provide.
  • Platform usage — Schools using Edutantra store academic, administrative, financial, and communication data about students, parents, teachers, and staff as part of normal platform operation. This data is entered and controlled by the subscribing institution.
  • Technical data — We may automatically collect device type, browser, IP address, pages visited, and referral source through cookies and similar technologies when you browse our website.
  • Support communications — If you contact us for support, we retain correspondence and related details to resolve your enquiry.

2. How we use information

We use collected information to:

  • Respond to demo requests, contact form submissions, and general enquiries
  • Provide, operate, and improve the Edutantra platform and website
  • Manage onboarding, subscriptions, billing, and customer support
  • Send service-related communications, including onboarding updates and support responses
  • Analyse website usage to improve content, performance, and user experience
  • Comply with legal obligations and protect the security of our services

3. School & platform data

Edutantra uses a multi-tenant architecture where each school's operational data is stored in a separate, isolated database. Institutions remain responsible for the accuracy and lawful collection of student, parent, employee, and financial data they enter into the platform.

We process platform data on behalf of subscribing schools to deliver the services described in our agreement with them. We do not sell school or student records to third parties.

Access to school data by Edutantra Operations staff is limited to provisioning, support, troubleshooting, and service delivery — typically under controlled, role-based access.

4. How we share information

We may share information in these limited circumstances:

  • Service providers — Trusted vendors who assist with hosting, email delivery, SMS gateways, payment processing, analytics, or infrastructure, under contractual confidentiality and security obligations
  • Integrations enabled by schools — Payment gateways, SMS providers, or other integrations configured by the institution
  • Legal requirements — When required by law, regulation, court order, or to protect rights, safety, and security
  • Business transfers — In connection with a merger, acquisition, or sale of assets, with appropriate notice where required

We do not rent or sell personal information collected through our website lead forms for unrelated marketing purposes.

5. Cookies & tracking

Our website may use cookies and similar technologies to remember preferences, maintain session state, and understand how visitors use our pages. You can control cookies through your browser settings. Disabling cookies may affect certain website features.

We may use analytics tools to measure traffic and engagement on our marketing site. These tools may collect aggregated or pseudonymous usage data.

6. Data retention

We retain website enquiry and demo request data for as long as needed to respond, follow up on sales opportunities, and maintain business records — unless a shorter period is required by law or you request deletion where applicable.

Platform data retention for subscribing schools is governed by the subscription agreement and the institution's instructions. Schools may request export or deletion subject to contractual terms and legal requirements.

7. Security

We implement administrative, technical, and organisational measures designed to protect information against unauthorised access, loss, or misuse. These include isolated databases per school, role-based access controls, and secure infrastructure practices.

No method of transmission or storage is completely secure. While we work to protect your information, we cannot guarantee absolute security.

8. Your rights & choices

Depending on applicable law — including India's Digital Personal Data Protection Act and related regulations — you may have rights to access, correct, delete, or restrict certain processing of your personal information.

Website visitors may contact us to update or delete enquiry information they submitted. Students, parents, and staff should contact their school directly for platform data held by the institution. Schools may contact us for platform-related data requests.

9. Children's privacy

Edutantra processes student information on behalf of schools and colleges. We do not knowingly collect personal information directly from children through our public marketing website.

Student accounts and records on the platform are created and managed by the subscribing institution, which is responsible for obtaining appropriate consent from parents or guardians where required.

10. International transfers

Edutantra is primarily built for institutions in India. If data is processed or stored using infrastructure located outside India, we take steps to ensure appropriate safeguards consistent with applicable law and our agreements with customers.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes may also be communicated through our website or directly to customers where appropriate.

Continued use of our website or services after changes become effective constitutes acceptance of the updated policy, to the extent permitted by law.
